Spotlight problems

Your files are not gone

Updated 2026-07-31 · 4 min read

Files almost never disappear. They become unfindable, which feels identical and is fixable.

The five-minute diagnostic

1. Is it in the Trash? Check ~/.Trash. Search excludes it, so a deleted file vanishes from results while still existing.

2. Was it saved somewhere unexpected? Most apps have a File → Open Recent menu, and that tells you the real path. Browsers keep download histories.

3. Is it inside ~/Library? Mail attachments, Messages files, app data. Hold Option and use Finder's Go menu.

4. Is it inside a package? Photos originals, iWork document images, Logic project media. Right-click → Show Package Contents.

5. Is it on a drive that is not plugged in? Spotlight forgets unmounted volumes entirely.

If it is none of those

Search by date instead of name. ⌘F+Last modified datewithin last → 7 days, sorted newest first. People remember *when* far better than *what it was called*.

Then try a fragment rather than the full name — one distinctive word, not the whole title you half remember.

If search is broken rather than the file being missing

mdutil -s /
sudo mdutil -E /

and check the exclusion list in System Settings → Siri & Spotlight → Spotlight Privacy.

The underlying reason

macOS search is a curated view of your disk, not a complete one. Four of the five locations above are excluded by design. Knowing which four turns "my file is gone" into "my file is in one of these places", which is a much better problem to have.

Common questions

Can a file just disappear on a Mac?

Almost never. It is usually in the Trash, in an excluded folder, inside a package, or on an unmounted volume.

What is the fastest way to find a recently saved file?

Search by date rather than name — Finder's 'Last modified within last 1 day', sorted newest first.
